The Helen Keller International is hiring a Trainee.
HR Area
- Assist in Archive organizing and classification.
- Support Staff in HR related issues and help in their daily needs.
- Help in updating all employee individual files by making sure all missing documents are filed correctly.
- Identified all old archives and organized them accordingly.
- Support staff in their learning and development, help identify their needs and coordinate the training sessions.
- Assist in organizing all supplier and consultant contracts according to procedure.
- Help employees with their requests for services, (medical aid, family issues, disciplinary issues etc.)
- Support Staff in filling out their timesheets on time.
Procurement
- Assist in HKI policies and procedures, ensuring correct usage of all forms.
- Assist in the proper filing of all procurement documentation.
- Solicit quotations and bids as appropriate.
- Prepare services agreements for approval.
- Assist in verifying contracts, on the basis of the expiry of contracts recorded on the suppliers/contracts database.
- Assist with physical inventory count is performed on an annual basis and that all equipment has an inventory number.
- Assist to ensure proper management of any HKI stocks, carrying out spot checks of stores.
- Assist in general filing and front-office paperwork.
- Assist in Developing and maintain a database of suppliers (vendors) and consultants to include their contacts, areas of expertise, relevance to project components.
Property and Office Management
- Assist in Reviewing all property leases (office and international housing) to ensure they contain all appropriate clauses before signature.
- Assist in timely payment of all rent and utilities bills.
- Assist in timely follow up of all maintenance issues for all properties.
- Assist in keeping the office in a presentable manner.
- Assist in any security issues to be addressed and in a timely manner.
- Liaise with landlords for appropriate follow up as required.
Fleet/Vehicle Management
- Assist in managing logbooks-control and filling by ensuring thorough completion by drivers for each journey.
- Assist in managing systems to monitor and control fuel usage for vehicles.
- Assist in allocation and proper rotation of appropriate work and assignments to the Drivers
- Assist in maintaining a box filing system for each vehicle and motorbike that stores all information.
- Assist in planning routes for field activities.
- Assist fleet manager on other tasks as requested.
Logistic
- Assist in organizing administrative logistics including booking of flights and hotel reservations, arranging for transportations, review of travel authorizations, documentations, and payments.
- Logistics Intern ensures the proper functioning of supply chain including purchasing of goods and services, their transport and storage.
- Supporting clearing and forwarding with the contractors
- Assist procurement as requested
- Assist in other duties as directed by the line Manager.
