Intern – Procurement Full-Time

Summary

Counterpart International is currently seeking an Intern in the area of Procurement for a 5-year USDA McGovern-Dole Food for Education and Child Nutrition Program which aims to reduce hunger and improve literacy and nutrition among school-age students, especially girls. With the support and under the supervision of the Procurement, Grants & Contracts Manager the candidate will be providing support to the procurement department. This is a full-time internship based in Matola, in the Metropolitan area of Maputo, Mozambique.

Duties and Responsibilities

Areas of exposure may include, but are not limited to:

Administrative Procurement Support Services

• Under the direct supervision of the Procurement, Grants & Contracts Manager, the procurement intern provides a variety of specialized and non-specialized transactional support services, ensuring consistency and quality of work steps completed, as well as optimal information flow:
• Assist in drafting bidding documents, evaluation reports and contract award submissions, ensuring consistency in format and content.
• Assist in the preparation of Purchase Orders, Contracts or their Amendments.
• Process invoices for goods and services delivered ensuring accuracy and completeness of documentation.
• Undertake routine follow up action on procurement on behalf of the supervisor;
• Publish procurement advertisements and awards.
• Maintain an updated tracker on procurement activities and work in progress.
• Provide standardized procurement services, guidance and information to staff on routine processes and procedures.
• Perform other duties as assigned by the Supervisor.

Training components and learning elements

• The intern will be given an on the job learning opportunity by being assigned to work on low value risk procurement cases for which along each step of the way s/he will be guided on the CI procurement process including best practices on preparing tender request; preparing evaluations documents and how to carry out evaluations and issuing Purchase Orders.

Essential Functions/ Requirements

• Applicants are not required to have professional work experience but experience working in education or corporate social responsibility (through work, education or other) and procurement support services is an asset;
• Knowledge of business operations, procurement, supply chain, and logistics is an asset;
• Ability to quickly gather and analyze data, and grasp customer requirements under time constraints in a changing environment.

Education, Experience, Skills

• Either currently enrolled for University Degree in Procurement, Business Administration, Public. Administration, or any relevant subject or have graduated from such studies within the past 3 years prior to the application date of the internship is required.
• Proficient skills in computer including experience with MS Office products such as Word, Excel, Outlook, and ability to learn and master new software programs including general ledger software packages.
• Strong written and oral communication skills.
• Problem solving skills.
• Organization/Time Management skills.
• Strong analytical skills.
• The ability to work in a fast-paced, ever-changing environment, interact professionally with a diverse group of vendors, and subject matter experts.
• A willingness to take on responsibilities and challenges.
