Job Summary

We are seeking a proactive and detail-oriented HR cum Admin Executive who will be responsible for maintaining government compliance records, supporting logistics and office administration, and managing core HR functions. This dual-role position requires excellent organizational skills, multitasking ability, and a high level of discretion.

Key Responsibilities

• Coordinate hiring process by scheduling interviews, managing candidate communication, and supporting the documentation and offer rollouts.
• Handle pre-onboarding activities including offer letter issuance, background verification, collection of pre-joining documents, and creating onboarding plans.
• Maintain employee attendance, leave tracking, and ensure synchronization with payroll timelines on KEKA.
• Manage onboarding activities for new hires including documentation, induction planning, and IT/admin setup coordination.
• Ensure smooth coordination with the central HR team for employment contracts, renewals, and staff documentation.
• Support in executing performance reviews, employee feedback collection, and grievance handling protocols.
• Keep employee databases updated, including contact details, position history, compliance status, and HR records & update the HR reports at regular intervals.
• Organize employee engagement activities, training calendars, and compliance with company HR policies.
• Assist with off-boarding processes, including exit formalities, final settlements, and exit interviews.
• Coordinate and communicate HR updates and policies across departments and ensure adherence. Ensure adherence to the local employment laws & company policies.
• Maintain up-to-date records of compliance licenses, coordinate & arrange work permits, and other government-related documents.
• Proactively notify relevant departments/users ahead of expiry dates based on pre-agreed timelines.
• Receive government communications and forward them to the appropriate department within 5 hours of receipt.
• Oversee travel arrangements, including flight and hotel bookings.
• Maintain secure and well-organized digital and physical filing systems.
• Serve as a liaison between departments, ensuring seamless internal communication and collaboration.
• Manage internal and external meeting coordination, including documentation and scheduling.

Key Skills & Competencies

• Excellent Knowledge of Mozambique local employment laws.
• Experience is employee relations & addressing their queries.
• Strong interpersonal and communication skills.
• Proficiency in MS Office Suite (Excel, Word, Outlook).
• Experience in handling government documentation and compliance tracking.
• High attention to detail and organizational skills.
• Strong multitasking and time management abilities.
• Ability to handle sensitive employee data with discretion.
• Proactive, self-driven, and able to work with minimal supervision.

Qualification & Experience

• Experience in recruitment across levels.
• 3–5 years of experience in HR and Admin functions, preferably in an international or logistics-based organization
• Fluent in English and Portuguese (preferred).
