Senior School Secretary Full-Time

The Aga Khan Academy Maputo, located in Maputo, seeks to hire a Senior School Secretary to begin on 11 April 2022 or earlier.

Purpose

• Assist the Secondary School Principal, Dean of Studies, MYP Coordinator and DP Coordinator;
• Facilitate the communications between parents, teachers, and the school principal;
• Assist the Secondary School administration.

Context

The Aga Khan Academies are an integrated network of nondenominational day and residential schools dedicated to expanding access to education of an international standard of excellence to exceptional young men and women regardless of their ability to pay. Envisaged in Africa, South and Central Asia and the Middle East, the Aga Khan Academies’ foundational values include pluralism, meritocracy and civil society. Responsibilities

• Open and close the school;
• Welcome and farewell the students;
• Manage register books (or appropriate software) for access;
• Message parents regarding students’ information;
• Inform teachers about student absences and lateness; follow up with parents where applicable;
• Teacher and student absence report to Principal;
• Manage requests and keep respective teams informed: Stationery, Operations, Educational resources, Field trips, Others;
• Keep constant communication with parents for day-to-day student life;
• Assist accidents and follow internal procedures;
• Assist on general school activities;
• Keep updated record of:
  • Student transport list;
  • Students school meals list;
  • Parents contact details;
  • Emergency contacts;
  • Class list;
  • Event presence list;
• Manage and update class and student settings on ManageBac;
• Schedule covers for absent teachers and inform staff about them, following-up on them as necessary;
• Schedule break and lunch duties for all staff according to allocations specified by the Principal, following-up on them as necessary.

Required Attributes

• Educated to degree level;
• Experience of administrative work, family liaison or parental communication/liaison in a school;
• A deep understanding of, and connection with, Mozambican culture, traditions, values and society;
• Very good command of English and Portuguese – both written and oral;
• Excellent interpersonal skills and the capacity to interact well and communicate effectively with students, parents, colleagues and stakeholders within a diverse and pluralistic society;
• Proven ability to administer records and other sensitive and/or confidential information;
• Ability to reach out to stakeholders outside the Academy and win them for the vision and mission of the school;
• A positive “can do” attitude;
• A team player.

Valued additional expertise

• Knowledge and understanding of the wider African context;
• Experience of school residential programmes.
