Intern Internship

Context:

Under the direct and overall supervision of the Chief of Mission (COM), The selected person for this internship  will  support  Chief  of  Mission  on  media  monitoring,  administrative  and secretarial functions.

Responsibilities and Accountabilities

Media Monitoring :

1. Monitor local, national, and international media outlets for articles relevant to IOM Mozambique’s and draft Media Monitoring summary reports for Chief of Mission, including provide informal translation and interpretation services, as needed
2. Prepare media clipping and newsletters;
3. Assist in collection of beneficiary feedback, including by providing support in design of questionnaires, coordinating with IOM field staff, and tabulating/synthesizing data.

Secretarial and administration

1. Arrange appointments and maintain COM’s calendar, received high-ranking visitors, places and screens telephone calls and answers queries with discretion;
2. Prepare a high quality briefing materials for the COM and for use on official trips and meetings;
3. In charge of protocol matters : arrange meeting with high-ranking Government/embassy officials;
4. Participate in the organization and preparation of staff meetings or special meetings and take minutes/notes;
5. Prepares informal translations and act as interpreter, if necessary;
6. Manage incoming and outgoing correspondence of the COM and to ensure a proper follow-
7. Draft non-substantive correspondence and ensure follow up;
8. Maintain policy, confidential and general management files;
9. Maintain the list of government contacts and members of diplomatic corps;
10. Arrange travel and accommodation for the COM and coordinate with other units in the mission;
11. Arrangement of Visas, Permits, and Diplomatic Administrative Matters and liaise with relevant Embassies to facilitate the issuance of international visas for international and national staff on official travel, as required
12. Perform other duties as they might be assigned

Required Qualifications

Education

Applicants  to  this  internship  must,  at  the  time  of  application  meet  one  of  the  following requirement :

• a) Be enrolled in the final academic year of a first university degree programme (minimum Bachelor’s level or equivalent), preferably in International relation, Communication, Business Administration, law or any other related studies; or
• b) Be enrolled in a graduate school programme (second university degree or equivalent, or higher) preferably in in above field study; or
• c) Have graduated with a university degree preferably in above field study and, if selected, must commence the internship within one year of graduation.

Experience

• Profound understanding of the legislative and administrative structure and procedures of Mozambique Government;
• Previous  working   experience   in   an   international   organization/UN   is   a   distinct advantage.

Skills :

• Excellent communication skills. Personal commitment, efficiency, flexibility and drive for results;
• Online communication and social media skills;
• Ability to prepare clear and concise reports;
• High level of professionalism and ability to work under pressure and adhere to strict deadlines in a complex and fast changing environment;
• A high degree of computer literacy is required.

Languages

Fluency in English and Portuguese is required.
