About the role

Your role is to maintain and control completeness and accuracy of the financial and administration system for the Mozambique office. In Mozambique, we have significant contracts in place with

FHI360 QHI Project – where Viamo is supporting the MoH and key stakeholders in Nampula with remote training of community health workers, behavior change messaging on the 3-2-1 Service, audio magazines for youth, and mobile phone-based feedback mechanisms and satisfaction surveys . Abt Associates USAID Efficiencies for Clinical HIV/AIDS Outcomes project – Viamo is supporting the project with mobile data collection, behavior change messaging on the 3-2-1 Service, e-vouchers to promote uptake of services and treatment, and supporting the continuum of care by strengthening patient monitoring, follow-up and targeted awareness raising over mobile channels. ADPP Transform Nutrition Project – Viamo will develop mobile phone job-aids to train APEs via Interactive Voice Response (IVR), collect data on training activities for quality assurance and quality improvement (QA/QI), and conduct ongoing digital GIS mapping of TN service, to improve project planning, coordination, and implementation and many more.

Key Responsibilities

Financial management

• Review the monthly project invoices for correct allocation;
• Submit all project related receipts and invoices to F&A and save on Viamo Drive:
• Compile budgets for field activities in close collaboration with Project Managers;
• Manage the financial reporting for field activities;
• Manage petty cash in the office and ensure compliance from program staff;
• Prepare monthly cash flow request for general office and projects;
• Prepare local payments following the procedure (payment voucher+ backup, signature process and request of authorization payment);
• Organise and maintain contract inventory for local suppliers;
• Update financial spreadsheets with daily transactions;
• Track and reconcile bank statements;
• Send financial report to F&A as required;
• Provide administrative support during budget preparation;
• Participate in annual audit and specific audit required by donors.

Payroll

• Process payroll monthly, printing and filing necessary reports;
• Process automatic payment for all staff;
• Make sure that the salary control account is reconciled and outstanding payroll liabilities (INSS & IRPS) are paid in line with current tax regulations.

Administration & Human Resources Support

• Help organize and maintain office common areas;
• Perform general office clerk duties and errands;
• Organize travel by booking accommodations and reservations needs as required;
• Coordinate events as necessary;
• Maintain supply inventory for project(s);
• Manage procurement process in collaboration with F&A team;
• Maintain office equipment as needed;
• Create, maintain, and enter information into Viamo databases;
• Create memo templates when necessary;
• Monitor the recruitment process of the various consultants required for the project;
• Perform the preselection of candidates on files;
• Perform availability checks and tests by phone;
• Make confirmation calls to preselected candidates;
• Assist to recruit, supervise and train staff and consultants needed to meet project objectives;
• Monitor the activities entrusted by the Head of Mission to the consultants.

Program Support

• Support the logistical preparation of field trips for consultants and program staff;
• Assist in the organization of content development workshops, field testing and all other field activities;
• Support the team in the preparation of the various administrative documents required;
• Support the team in dispatching materials and equipment for consultants and monitoring their returns at the end of the missions;
• Provide technical support and oversight to staff in the provinces;
• Review the coding of the field reports with project managers.

Key Performance Indicators

• Ensure accuracy of accounts and reporting;
• Effective payroll administration;
• Effective administration, HR & program support.

Profile

• Relevant university degree and 3+ years financial experience, including reporting and budgeting for international donors. (Experience implementing USG-funded projects desirable);
• Excellent written and oral communication skills in English, customer service skills;
• Strong attention to detail;
• Strong intercultural understanding, and a passion for unleashing the potential of your colleagues.
