The EP Management and Consultancy Services is recruiting for his client an Archives Controller.
Specification
PHYSICAL STORAGE
1.1Evaluating records for preservation and retention;
1.2Arranging the acquisition, cataloguing and retrieval of records;
1.3Liaising with departments depositing archive documents;
1.4Identifying ways of protecting and preserving documents;
1.5Produce retention schedules periods as necessary;
1.6Perform inventories of active and inactive record storage areas and co-ordinate scheduling of record disposition in coordination with Executive Management.
2SYSTEMS
2.1Preparing record keeping system and procedures for archival and for retention and destruction of records;
2.2Cataloging collections and managing information and records;
2.3Facilitating access through user friendly computer – aided searches and explore ways of networking archives and other means of facilitating remote access – growing areas;
2.4Design information delivery systems in conjunction with Department Heads;
2.5Establish and administer policy guidelines concerning access and use of materials.
3COMMUNICATION
3.1Responding to personal, telephone, email and written enquiries from departments;
3.2Advising users on how best to access, use and interpret archives through inter training courses;
3.3Ensure confidential information is managed with high professional standards.
4TRAINING AND SUPERVISION OF SUBORDINATE STAFF.
4.1Producing training materials for subordinate staff and user departments;
4.2Facilitating training sessions on archival procedures;
4.3Managing and supervising junior staff;
4.4Undertaking general management responsibilities such as operational and capital budgeting for the archives department.
5COMPLIANCE
5.1Updating compliance records;
5.2Maintaining of Archiving Compliance documents;
5.3Receiving and Forwarding Compliance Complaints from various concerned people and forwarding them to Management.
6 ISO STANDARDS
6.1 Checks that employees in his section are conversant with all ISO procedures and assist them where necessary and reports substandard acts and non-compliance;
6.2 Ensures that procedures are always available to all employees;
6.3 Checks implementation of ISO standards by all employees within the section;
6.4 Reports all ISO related problems in his area to the departmental head for documentation purposes;
6.5 Ensures that all his subordinates are conversant with the ISO procedure;
6.6 Ensures that ISO procedures are taught where required and ensure any new employee is well versed on the ISO requirements;
6.7 Ensures that sectional ISO audits are conducted correctly within the planned time and that all corrective actions in case non conformities are done within specified time.
