Under direct supervision of the Finance Officer, in close coordination with Head of Office in Beira and under the overall supervision of the Resources Management Officer in Maputo, the field-based incumbent will be responsible for providing administrative and finance support to the sub Office.
1. Check the accuracy of all payments, invoices, official receipts before processing the requests for payment;
2. Verify accounts documentations received from third party (Suppliers, partners minimal quality parameters of authenticity for bank/cash payments are entered in PRISM on time and proper coding is used according to IOM’s rules and regulations;
3. Review completeness of documentation of advance settlements, including, statement of expenditure and relevant supporting documentation; prepare the request for payment as and when necessary;
4. Entry payments, receipts and non-cash vouchers into accounting system, (PRISM) on timely manner;
5. Create and maintain an efficient filling system of all financial and other supporting documents;
6. Maintain and update the bank panel signatory for all bank accounts in IOM;
7. Perform housekeeping and maintenance of records in PRISM-FI system such as monitoring and clearing vendor/customer accounts on a timely manner;
8. Maintain the cash forecast in coordination with Finance Assistant (Treasury) as well as assist on the preparation of the Mission’s monthly Funding Request;
9. Verify the Daily Subsistence Allowance computation for official travel is correct and accurate before releasing funds;
10. Draft letters and correspondence as necessary;
11. Respond to general inquiries related to financial and administrative matters;
12. Communicate and work closely with units and provide information on financial and administrative policies and procedures;
13. Bring to the attention of FO and Head of Sub-office any relevant financial issues and propose corrective actions;
14. Perform other duties as may be assigned
Fluency in English and Portuguese both oral and written is required.
